We collect personally identifiable information (“data”) when you enquire with us and when you use our services. Any data we have necessarily collected from you is held only to enable us to perform the tasks we have been requested to carry out such as to provide elements of your holiday as booked or to relay information to you. It is not passed on to any parties who are not directly involved in providing elements of your holiday, processing your payments and safeguarding any funds paid to us. Here we outline the various ways we may hold data on you and what we do with that data.
To complete your booking we will hold all information passed to us during the booking process. The names of all party members, ages and date of birth of most party members, the address of the party leader and various contact telephone numbers. If you paid by credit card using our credit card link, we do not receive copies of your payment receipts nor do we have access to your card details. If we take your details over the telephone we immediately destroy the details taken once the information has been entered and a receipt has been sent to you. We are required to hold the booking records for six years and this information is held for 6 months at our premises both on paper records and in our database and thereafter all paper records are held in a secure storage unit.
Some of this data is passed on to our villa managers overseas to enable them to process your booking and to provide your accommodation or rental vehicle for the people named on your booking form. This information is includes the full names of all passengers staying at the villa, flight arrival and departure details, the number of adults and children in the party and their dates of birth. For some countries customer passport details are required and are normally collect at the time of booking but no later than 4 weeks before departure. This information stored securely in our database and passed to our villa managers 2 weeks before your arrival to comply with the resort authorities legal practices. Any additional information about specific requirements, relating to mobility or dietary restrictions as well as sleeping arrangements and room configurations is requestedoccasionally where it will enable our representatives to provide a more tailored service, especially for very young or perhaps elderly members of your party.
We also, with your permission, pass on your mobile phone number to our villa managers, particularly when the arrival arrangements detail that you will be met either at or en-route to a villa, to enable them to ascertain your location in case you are delayed or lost.
If you have e-mailed us for information and indicated that you would like to receive news and information on products and services as well as any special offers from Villa Retreats Ltd, your e-mail address, name and area or areas of interest will be stored on our contacts database. We will contact you from time to time, by e-mail with information that we feel is of interest to you, based on your requests of us. With every mailing you will have the option to have your details removed from the contact database simply by sending an e-mail back to us or clicking the unsubscribe link. If at the initial point of contact you indicated that you would not like to receive further information from us, your details are removed immediately after your request has been responded to.
For any of the above purposes we, or our agents, or our bankers may transfer data outside the European Economic Area (“EEA”). Countries outside the EEA may not offer the same level of protection of personal data as those countries in the European Union.
